Client meeting notes templates for accountants (tax planning, year-end, onboarding and more)

Meeting note templates for tax planning, year-end review, new client onboarding and advisory review

Every practice runs the same handful of meetings over and over, and most firms still write the notes for all of them from a blank page. The tax planning meeting gets written up like the onboarding call, which gets written up like Monday’s WIP. Things go missing in predictable places, because nothing in the notes tells anyone where to look.

A template gives the notes a shape. Below are copyable meeting notes templates for the meetings a practice actually runs, a short agenda you can send clients beforehand and a year-end planning checklist. Copy them into your practice management system or wherever your team keeps notes, then change the headings to match how your firm works.

Meeting notes, file notes and follow-up emails do different jobs

Firms often try to make one document cover everything, so it’s worth separating them before the templates.

Meeting notes are the working record of what was discussed, kept for the team. A file note is the formal internal record for the client file, with the advice, caveats and scope boundaries written carefully. The follow-up email is for the client: short, clear about decisions and explicit about what you need from them.

All of them come from the same conversation. The templates below are for the meeting notes, and the other two have their own guides.

A client meeting agenda template

Notes are easier to take when the meeting had a shape to begin with. Send something like this with the calendar invite a few days ahead.

MEETING AGENDA

Client:
Date, time and format:
Attendees:

1. Purpose of the meeting (one line)
2. What's changed since we last spoke
3. Main items for discussion
   -
   -
4. Information we need from you
5. Questions you'd like to raise
6. Next steps and our next meeting

Asking the client to send their questions in advance saves you the “one more thing” at minute 55. If you put the agenda in the calendar description, Vinyl’s pre-meeting briefs read it alongside your previous meetings with that client.

Year-end tax planning checklist

This checklist is deliberately generic. Rules, thresholds and deadlines differ between Australia, the US and the UK and change often, so treat it as a list of conversations to have and rely on your firm’s own technical guidance for the detail.

  • Confirm the client’s year end and any lodgement or filing dates that apply to them.
  • Compare year-to-date results with last year and with budget.
  • Ask about planned purchases, disposals or large expenses before year end.
  • Check how the owners plan to take money out of the business this year.
  • Review any loans between the business and its owners or related parties.
  • Ask about changes to staff, payroll or contractor arrangements.
  • Ask about changes in ownership, structure or new entities.
  • Confirm retirement savings contributions where they’re relevant.
  • Ask about personal events that could affect tax, such as property, inheritance or separation.
  • List the documents and confirmations still needed from the client, with dates.
  • Agree what the firm will model or advise on before the year closes.
  • Note anything outside the current engagement that needs its own proposal.

Advisory or quarterly review meeting notes template

Opening with the actions from last time keeps the review honest, and it shows the client what has actually moved since you last met.

Internal team WIP meeting notes template

TEAM WIP MEETING

Date:
Attendees:
Chair:

Jobs at risk of missing a deadline:
- Client | Job | Owner | Issue | Next step

Jobs waiting on clients:
- Client | What we're waiting for | Last chased | Next chase

Capacity this week:
- Who is stretched, who has room

Work reallocated:
- Job | From | To

Decisions:
-

Actions:
- Action | Owner | Due date

Keep WIP notes short. Their value sits in the actions and the list of jobs waiting on clients, and nobody wants to read three pages of it on a Monday afternoon.

Why consistent notes are hard to keep up

A template helps, but the time to fill it in still has to come from somewhere. In our survey of 259 accounting firms, over 60% said capturing action items and next steps was their biggest challenge, and 29% still take notes fully by hand. One in four firms has 11 or more meetings a week. At that volume, even a good template gets filled in late, or only halfway.

Where Vinyl fits

Vinyl records Zoom, Microsoft Teams and Google Meet calls, plus in-person meetings through the mobile app, and writes accounting-specific summaries with firm actions and client actions kept separate.

You can tag each meeting with a type. For client meetings the tags are Discovery, Onboarding, Tax planning, Tax preparation, Client review and Advisory, and internally they’re Team meeting, Board meeting, Client work and 1:1. We explained how meeting type tags work when we launched them.

The summary follows the kind of meeting it came from, so a tax planning session gets a different structure from a team meeting. You can choose concise or detailed summaries, and custom prompts and a glossary keep the notes in your firm’s headings and terms. The notes then sync to the client in Karbon or FYI. The product page has the full picture.

Start with the meeting you run most

Pick the template for the meeting your team runs most often and use it for a fortnight. You’ll quickly see which headings get filled in and which get skipped, and that tells you what to change before you roll the rest out.

Frequently Asked Questions

What should accountants include in client meeting notes?

The client, date and attendees, the purpose of the meeting, what was discussed, the advice given with its assumptions, the decisions made, firm actions with an owner and date, client actions with a date, and anything raised but not covered. The templates above add the detail each meeting type needs.

What is the difference between meeting notes and meeting minutes?

Minutes are usually the formal record of a board or committee meeting, circulated to and approved by the people who attended. Meeting notes are the firm’s working record of a client or team conversation, written for whoever picks up the work next.

How do you take good notes in a client meeting without losing focus?

Use a template so you’re filling in gaps rather than writing from scratch, and fill in the actions before the client leaves. Many firms now record the meeting, tell the client they’re doing so, and have an AI meeting assistant draft the notes for review afterwards.Use a template so you’re filling in gaps rather than writing from scratch, and fill in the actions before the client leaves. Where should client meeting notes be stored?

Against the client in your practice management system, where the whole team can see them. Notes kept in a personal notebook or inbox are lost to the firm the moment that person is away.
