AI notetaker for UK accountants: what to look for in your practice

A UK accountancy practice’s client meeting recorded by Vinyl, turned into a file note, a follow-up draft, a record in FYI or Karbon and a Socket proposal

Why a transcript on its own doesn’t help much

New work and new deadlines get agreed in client meetings. A client mentions they’re taking on staff, asks whether you can help with their bookkeeping, or promises to send their records by the end of the month. If that never reaches the client record, whoever picks up the file next starts without it.

The time adds up. In our research across 259 accounting firms, the median firm loses 3.8 hours a week to post-meeting tasks, and 57% spend at least 30 minutes of admin on each meeting. A tool that stops at the transcript leaves that admin exactly where it was.

Sadler Advisory, a remote UK tax and accounting firm with a team across London, Wales and India, had 91 hours of meetings in February alone. Before Vinyl, notes were handwritten or typed live into Karbon on a second screen, and each follow-up email took another 15-30 minutes. Now, in many cases, the draft is already there when the call ends.

I think it’s a no-brainer. I can’t imagine not having it now that we’ve got it.

What to look for in an AI notetaker for an accountancy practice

It understands accountancy conversations

A general notetaker summarises a year-end review the same way it summarises a team catch-up. Your summary should separate what the practice agreed to do from what the client agreed to do.A general notetaker summarizes a year-end review the same way it summarizes a team catch-up. Your summary should separate what the practice agreed to do from what the client agreed to do.

Vinyl writes accounting-specific summaries with practice and client actions listed separately, tags each meeting by type, and gives you a concise or detailed summary. Custom prompts, a glossary of your own terms and your writing style help the output sound like your practice wrote it.

It records the meetings you actually have

Vinyl joins Microsoft Teams, Zoom and Google Meet calls from your Microsoft or Google calendar, and the Vinyl mobile app records in-person meetings. It doesn’t record phone calls, so for a client who rings you, you can upload an audio file or a transcript afterwards.Vinyl joins Microsoft Teams, Zoom and Google Meet calls from your Microsoft or Google calendar, and the Vinyl mobile app records in-person meetings. It files to your practice management system

If the notes stay in the notetaker, someone still has to copy them across. Vinyl syncs two ways with FYI and Karbon. With FYI, it syncs your clients and contacts, files a summary to the right FYI client after each meeting, and links back to the full transcript and recording. With Karbon, the summary and actions land on the client’s timeline. Someone in the practice reviews before a client sees anything

AI notes are a strong first draft. Make sure nothing reaches a client until someone has read it. Vinyl drafts and you decide: it never sends an email on its own.

The jobs it should do after each client meeting

Write the file note

A good file note records what was advised and what was agreed, with the actions on each side. Vinyl writes one from the conversation as soon as the meeting ends. You check it, correct anything it misheard, and it’s on file the same day.

Draft the follow-up email

Vinyl drafts the follow-up from what was actually said, including anything the client asked you to look into. You review it in Vinyl, edit the recipients and the wording, then send it from your own Outlook or Gmail, or save it as a draft.

File the meeting in FYI or Karbon

Decisions, owners and due dates are saved with the client record, so a colleague preparing the next VAT return or chasing missing records can see what was agreed without asking you.

Start the proposal in Socket or Ignition

When a meeting turns into new work, the proposal tends to wait until someone has a free hour. Vinyl drafts a proposal in your proposal tool from the meeting, for someone in the practice to approve. With Socket, the scope, pricing context and agreed next steps from the call become the starting point for the proposal and onboarding, so nobody rebuilds the brief from memory. Ignition works the same way. Your proposals and engagement letters stay in the tool where they already live.

Data questions for a UK practice

We’ll be upfront: Vinyl stores primary data in Australia. Vinyl doesn’t train AI on customer meetings. Whether data held outside the UK suits your practice is your decision, and the questions below will help you make it with any vendor.

Storage and processing. Ask where meeting data is stored and also where it’s processed, because AI tools often use specialist providers in other countries for transcription. Ask what safeguards apply to data held or processed outside the UK, and whether the vendor will sign a data processing agreement. Our guide to using an AI notetaker safely in client meetings sets out where Vinyl’s processing happens.

Training. Ask whether recordings, transcripts or summaries are used to train AI models, and get the answer in writing.

Consent. Decide how the practice tells clients a meeting is being recorded. A line in the calendar invitation and a word at the start of the call is a common approach. Check whether the tool appears visibly in the meeting so nobody is recorded without knowing.

Retention. Ask how long recordings and transcripts are kept, whether you can delete a single meeting, and what happens to your data if you leave. Then decide how long your practice wants to keep meeting records, and write that into your own policy.

Take these answers to whoever handles data protection in your practice, and check your professional body’s guidance, whether that’s the ICAEW, ACCA, AAT or CIOT, before you settle a practice-wide approach.

What Vinyl costs in pounds

Every plan includes unlimited users and every integration. The plans differ only by the hours of meetings included each month:

Plan Price a month Meeting hours included Extra minutes
Starter £69 20 11p a minute
Growing £129 60 10p a minute
Scaling £229 180 8p a minute

As a rough guide, Starter suits one person recording five meetings a week, Growing suits three team members doing the same, and Scaling suits ten. Practices that need 500 or more hours of meetings a month can talk to us about a high-volume plan. The pricing page has an estimator that suggests a plan from your team size and meeting length, and our UK page shows Vinyl set up for UK practices.

The fairest test of any notetaker is a week of real client meetings. At the end of it, count the file notes written the same day, the follow-ups sent before a client had to chase, and the meetings that reached FYI or Karbon without anyone copying them across. That tells you more than a feature list, ours included.
