Multiply Advisors
Before, Multiply Advisors’ client context lived in people’s heads, scattered tools, and Slack back-and-forth—especially when teammates were in different time zones.
After standardising on Vinyl, they can pull the right meeting in seconds, ask questions across it, and hand off cleanly without re-explaining or re-listening.
At-a-glance stats
Client growth pace: Targeting ~10–30 clients/week
Meeting reality: “Some days it’s ~6 sales meetings”
Team adoption: Whole team on Vinyl
Handoffs: “Slack me for notes 4 days later” → Self-serve meeting context + Ask Vinyl
Knowledge retrieval: “Searching energy” → Global search + client/meeting context on-demand
Before: What Life Looked Like Pre-Change
Context
Multiply Advisors was built by an entrepreneur who’d felt the cost of bad accounting support firsthand—books months behind, big decisions with no help, and growth that outpaced infrastructure.
From day one, Josh designed Multiply Advisors for speed. Not just “doing the work,” but supporting entrepreneurs with responsiveness and follow-through—at a pace most firms can’t handle.
The Old Workflow
Multiply Advisors used meeting capture early, but it wasn’t a shared system that the whole team could operate from.
Calls happened across Teams (often with a Teams link added to meetings as the default)
Note-taking/recording was handled with a mix of tools (including free Fathom, and Granola as a backup)
Internal context lived in Slack client channels, plus people’s memory
Workflow lived in ClickUp (and tax workflow + portal in TaxDome)
Messages and requests were centralised through Missive
When someone missed context, the fallback was: ask in Slack, search manually, or schedule another call
Where Things Broke
Josh didn’t describe a team that “forgot to take notes.” He described a team that lost time and momentum hunting for context.
Context didn’t travel. If someone stepped out (even briefly), handoffs were painful.
Time zones amplified the lag. Teammates would DM days later: “Where are the notes from that call?”
Search was the tax. “Searching energy is one of the biggest wasted amounts of energy.”
Sales velocity created memory gaps. After a full day of meetings: “What were their pain points again?”
Internal meetings were just as important—but easy to lose. “If we spent 30 minutes on an internal discussion… I want that.”
“I think Vinyl literally gives me the confidence to move faster.” — Josh, Multiply Advisors
The Trigger
Multiply Advisors wasn’t buying tools for today—they were building for the moment growth hits hard.
Josh’s line in the sand was simple: if they’re targeting a growth pace where they’re adding 10, 20, 30 clients a week, the firm can’t depend on memory, manual searching, or one person being “the context.”
They needed shared knowledge that scales with pace.
During: How the Firm Made the Change
What They Looked For
Multiply Advisors wasn’t shopping for “meeting notes.” They were building infrastructure: a centralized, queryable source of client truth the whole team could operate from.
Non-negotiables:
A client-centered system (not just meeting files)
Team-wide access to past conversations without extra admin
Faster handoffs without re-explaining or re-watching
A workflow that reduces “searching energy,” not adds to it
Implementation
Josh started by running Vinyl personally alongside their existing setup—admitting he was a “poor user” at first—then pushed toward a standard firm rhythm.
Key implementation moves:
Put the whole team on the same system (no “per-person tool sprawl”)
Enabled sharing so teammates could access meetings without waiting on someone else
Used Ask Vinyl in real work moments (handoffs, summarising, recalling pain points) rather than as a novelty
What made it stick wasn’t novelty. It was speed: fewer clicks, fewer “where is that?” messages, and fewer repeat explanations.
The New Playbook
Today, the workflow is designed to be invisible—and repeatable.
Default to meetings that Vinyl can capture
Use global search to find the right meeting fast
Use Ask Vinyl to extract what matters (pain points, commitments, next steps, handoff bullets)
Share the link so teammates can query the same meeting instead of asking for a recap
Use multi-meeting chat to start turning calls into reusable internal assets (e.g., SOPs) as that capability expands
Vinyl’s Role
Vinyl didn’t replace Multiply Advisors’ systems — it connected the meeting layer into a shared source of context.
That gave Multiply Advisors a practical foundation for fast handoffs, consistent retrieval, and team-wide visibility—without forcing Josh to become the human knowledge base.
After: Results + Proof
What Changed (Before → After)
Area | Before | After |
Finding prior context | Manual digging + Slack questions | Global search + pull the meeting instantly |
Sales follow-through | “What were their pain points again?” after a full day | Ask Vinyl retrieves pain points + commitments on demand |
Internal handoffs | Re-explain or schedule another call | 2-minute handoff bullet list + meeting link |
Cross-time-zone collaboration | “Can I get the notes?” days later | Teammates self-serve the same source of truth |
Team standardization | Mixed tooling / inconsistent habits | Whole team on one shared rhythm |
Timing and impact described qualitatively by Multiply Advisors; no formal time study provided.
Day-to-Day Impact
A real example Josh gave: a key team member stepped out for two weeks due to a family loss. When it was time to hand a project back, Josh didn’t rebuild the story from scratch.
He:
searched the client/meeting
opened Ask Vinyl
asked for a handoff-ready bullet list
pasted it into Slack with the meeting link for deeper self-serve context
“Within less than two minutes, I’m not frustrated… I copy pasted, I dropped it into Slack, done.” — Josh, Multiply Advisors
Business Impact
Multiply Advisors doesn’t frame the value as “minutes saved.” It’s momentum.
Faster pace without breaking trust: “confidence to move faster”
Less dependence on “the one person who remembers”
Cleaner scaling path as client volume accelerates
Stronger internal operating system: internal meetings become durable context, not disposable conversation
Bottom Line
Multiply Advisors didn’t adopt Vinyl to get better notes.
They adopted it to remove a specific tax on growth: repeated questions, repeated explanations, and the constant drain of “searching energy.”
When the firm is moving fast—and onboarding clients at volume—shared context isn’t a nice-to-have. It’s the infrastructure that keeps momentum intact.
